Requirements for the position
Education:
- Essential: Diploma/degree HR management or administration-related studies.
Experience:
- Essential: 2 years experience in selecting and recruiting and/or similar jobs.
- Desirable: Relevant experience with MSF or another NGO.
Languages: Essential: Arabic and English.
Other: Essential: Use of IT tools (Microsoft Ofice, etc) and Web 2.0 software (LinkedIn, Facebook, etc.)
Description
- Place of work: Coordination Office – Sana`a ( with 70 % - 80 % mobility in the field )
- Level: 8
- Duration: Until the end of the year 2023 with the possibility of extension; subjected to a probationary period.
- Others: Salary: Based on the organization scale.
Main objectives:
1. RECRUITMENT
- Inform Hiring Managers around the internal policies for talent attraction in the organization
- Ensure compliance for all recruitment processes under his/her responsibility
- Design an advertising strategy for each vacancy using the different recruitment channels used by MSF (Job boards, social media, associations, etc.) & Manage publications, and job offers on the various communication channels.
- Collaborate with hiring managers to ensure a smooth, timely and cost-effective recruitment and selection process.
- Work with hiring managers to create suitable job descriptions and adverts that are in line with the image and principles the organization wants to promote and DEI compliant.
- Promote recruitment best practices to hiring managers to ensure line managers with recruitment responsibilities are adequately capacitated in the inter-viewing process.
- Maintain up to date knowledge on best practice recruitment and selection techniques with specific attention to DEI.
- Take part in active recruitment activities.
- Build and maintain a solid network with academic institutions, royal collages, key actors in the country, etc.
Main responsibilities and tasks:
2. SELECTION
a. Inform Hiring Managers around the internal policies for talent attraction in the organization
b. Responsible for the pre-selection of the applications received to be sent to the Hiring Managers (Longlisting)
c. Organize the technical tests based on the instructions received from Hiring Managers
d. Create an interview guide after discussion with the Manager of the position
e. Participate in the interviews and the decision process
f. Seek for shortlisted candidate references and internal candidate appraisals.
3. ADMINISTRATION
g. Carry out all the administrative duties in the recruitment process such as long application forms/CVs, organizing recruitment timetables, arranging interviews, interview tests and distributing interview packs and/or any other relevant information to interviewees/panels.
h. Ensure all the Job description are update in collaboration with the supervisors, Managers and Coordinators.
i. Accurate and timely management of documentation, filling, and reporting.
j. Administer the process for new employees, for example, prepare contracts, offer letters and pre-employment checks i.e., right to work, qualifications, etc.
k. Liaise with line managers/relevant departments to ensure they are aware of induction/onboarding procedures as well as any other important information (for example: start date).
l. OTHERS
Involvement in HR planning, as requested.
m. Preparing recruitment reports and data analysis around recruitment
n. Participate in trainings, as requested
o. Participate in the selection process revision and development/ improvement recruitment policy.
Be able to do the back up of Admin HR assistant, PAM and Dev manager when needed with following tasks:
p. Execute administrative and legal related tasks, under supervision of the Human Resources Coordinator, checking payroll calculations and updating personal files to ensure accuracy, compliance and on time payments.
q. Prepare employment contracts in conformity with legal requirements including specific amendments, when necessary, to ensure local labor and fiscal law compliance.
r. Enter data into the HR database and personal files and keep them up to date to facilitate HR processes management.
s. Draw up monthly payslip for all staff, editing and updating the necessary data, in order to ensure the punctuality and accuracy of staff payroll.
t. Check the roasters and advise accordingly.
u. Management of the DW.
