The National Foundation for Development and Humanitarian Response (NFDHR) is a not-for-profit and non-governmental organization (NGO) that was established June 2012 in Yemen. Our vision is a peaceful and stable Yemen free of poverty, in which all people have equal access to basic needs and human rights, and our mission is to provide an integrated humanitarian and development response to aid Yemen and other conflict-affected countries through a professional, neutral, and transparent approach.

 

We aim to achieve our overall vision and mission by working to enhance local communities' development and stability through identifying structural causes of poverty, raising awareness, increasing access to basic services, and focusing on building citizens' capacities, especially women and youth, so as to enable their participation in the decision-making process that leads to sustainable development and a peaceful society within their developing and conflict-affected countries. NFDHR aims to accomplish these goals through its seven core programs: Food Security and Livelihoods (FSL); Water, Sanitation, and Hygiene (WASH); Health and Nutrition; Education; Gender and Protection; Shelter and Non-food items (NFIs); and Peacebuilding and Governance.

 

Program Summary

NFDHR is partnering with Global Communities (GC) to implement the Yemen Communities Stronger Together (YCST) Project, which is a three-years, multi-million US Dollar community-led program funded by USAID. It is to be implemented in seven governorates in Yemen (tentatively in Aden, Lahj, Abyan, Taiz, Sana’a, Ibb, and Dhamar). The purpose of YCST is to support local-level initiatives that mitigate conflict, strengthen social cohesion and promote the peaceful resolution of differences. To reach its goal, YCST will engage communities in an inclusive approach through Participatory Action for Community Enhancement (PACE) Mode to identify and implement service delivery and conflict mitigation projects, build the capacity of formal and informal local leaders, organizations, and networks to serve as neutral arbitrators and peace builders that can meet community and constituent needs that will serve to reduce localized conflicts, and provide stability. The program will also carry out regular and action-oriented learning and contextual analysis across all interventions to support adaptive management and enhanced outcomes.

 

The goal of the project will be achieved by working through, and building the capacity of, Community Enhancement Teams (CETs), municipalities/local governments, and Community Based Organizations (CBOs) as key stakeholders to:

·         Engage in a continuous, conflict-sensitive participatory process of identification and prioritization of stressors;

·         Develop immediate and long-term solutions by accessing available resources through collaboration and partnerships with relevant stakeholders (including, when appropriate, informal leaders); and,

·         Utilize effective and transparent communication mechanisms in support of increased community cohesion.

 

YCST uses a transparent mobilization process as the entry point into partner communities, conducting household perception surveys and facilitating community-wide meetings to identify key stressors facing communities and form a Community Enhancement Team (CET). Throughout the life of the program, the CET serves not only as a key stakeholder but also as YCST's primary counterpart. To affect the necessary behavior, change to achieve the intended goal of leaving behind stronger, more resilient communities, YCST implements three sets of integrated activities:

·         Community Engagement: Working closely with the CETs, YCST facilitates the design and implementation of solutions for prioritized community-identified stressors.

·         Networking: Networking activities are designed to strengthen the key stakeholders’ ability to form partnerships, mobilize additional resources, share experiences, and strengthen intra-community cohesion.

·         Conflict Management and Mitigation (CMM): To ensure that key stakeholders are equipped to operate in a fluid, complex environment and can effectively respond to emerging challenges, YCST incorporates basic CMM training and offers a response mechanism to shocks and emerging stressors.

 

Administrative Assistant Job Description

The Admin Assistants will be responsible for ensuring the smooth and efficient running of administrative tasks in the targeted governorates, by undertaking a range of logistic, administrative, organizational and IT-related activities. Each will be in charge of helping out with 9 communities, including collaborating with GC’s staff to help with preparing workshops, meetings, and other activities. Additionally, the Admin Assistants will provide office services by implementing administrative systems, procedures, and policies and monitoring administrative tasks. The Admin Assistant reports directly to the Coordinator .This position is full-time, based on a 40 hour work week, but may vary slightly from week to week.

 

Main Tasks

·         Conduct daily clearance of temporary filing cabinets by relocating and organizing them within the central files

·         Make sure that all forms are always available and updated.

·         Receive and prepare payment orders to be approved and disbursed to suppliers.

·         Place orders and manage payment for office expenses including water, electricity, transportation, stationary, etc.

·         Maintain and update the Property Register list.

·         Keep updated contact details for NFDHR staff, YCST staff, NGO partners, key GC staff, suppliers, government contacts, etc.

·         Organize the administrative activities for meetings, workshops, and trainings

 

The role of the Admin Assistant is not limited to the specific duties mentioned above. It is subject to change with the evolution of the conflict and in accordance with YCST’s goals and objectives. As such, the Admin Assistant is required to manage all unforeseen issues and circumstances in relation to YCST’s administrative tasks and should remain adaptable to perform responsibilities that may not be mentioned above, as and when required.

 

Qualifications

Essential

  • University degree in administration or equivalent professional experience
  • A minimum of 2 years’ experience in a similar position
  • Knowledge of basic office IT, including MS Office (Word, Excel)
  • Experience in coordinating with NFDHR partners and donors, such as the UN, INGOs, NNGOs and government

     ·         Strong organizational and time-management skills

     ·         Commitment to the aims and principles of NFDHR.

  • English and Arabic language proficiency (speaking, reading, writing)

 

Desirable:

    ·         Excellent written and oral communication skills

    ·         Flexible and able to work well under pressure

    ·         Capable of working collaborative with team members to achieve results

    ·         Relates and works well with people from different cultures, genders, religions and backgrounds

·         A gross monthly salary with pay grade E1, according to NFDHR’s grade scale.
